What your quote should include
- Your business details and your customer’s details
- A quote number and the date
- A clear breakdown of labour, materials and any other costs
- The total, with VAT shown separately if you are VAT-registered
- How long the quote is valid for (for example 30 days)
- What the customer needs to do to accept, and any deposit you need
Tips
- Always add a validity period. Material prices change, and an open-ended quote can cost you money.
- Split labour and materials. Customers trust a breakdown more than one round number.
- Say how to accept (“Reply to accept, 50% deposit to book”). It turns a quote into a booking.
Questions
What is the difference between a quote and an invoice?
A quote is an offer before work starts and is not a request for payment. An invoice asks for payment for work that was agreed or done. Once a quote is accepted, it should become the invoice.
Is a quotation legally binding in South Africa?
Once your customer accepts it, a quote can form part of the agreement between you, so make sure the scope, price and validity period are clear before you send it.
Can I turn this quote into an invoice?
Switch the template to “Invoice” at the top. In VumaBill, an accepted quote converts into an invoice in one tap, with every line kept.
