What your invoice should include
- Your business name, address and contact details
- Your customer’s name and contact details
- A unique invoice number and the invoice date
- A clear description of each item, with quantity and price
- The total due, and VAT if you are VAT-registered
- The payment due date, and your banking details or a payment link
Tips
- Number invoices in order (INV-0001, INV-0002…) and never reuse a number. SARS and your accountant both rely on it.
- Put the due date on the invoice itself. “Due within 7 days” gets paid faster than terms buried in an email.
- Reference the quote or order number so your customer’s accounts team can match it straight away.
Questions
Is this invoice template really free?
Yes. Fill it in and create a PDF as often as you like. Nothing is stored and there is no sign-up.
How do I save the invoice as a PDF?
Choose “Create PDF”. Your invoice opens as a PDF in a new tab, ready to save, print or share. It is the same layout VumaBill uses for invoices sent from the app.
Do I have to charge VAT?
Only if your business is registered for VAT. If you are not, leave VAT off and call the document an invoice, not a tax invoice.
