What your invoice should include

  • Your business name, contact details and, if VAT-registered, your VAT number
  • Your customer’s name and the job address
  • A quote or invoice number and the date
  • Each item of labour and materials, with quantity and price
  • The total due, the payment due date and how to pay

Tips for plumber invoices

  • Show the call-out fee as its own line so it is never a surprise.
  • List parts separately from labour. Customers often ask for proof of what was fitted, and insurers do too.
  • For geyser replacements, add the certificate of compliance as a line item and note the geyser’s serial number.

Questions

Should a plumber charge a call-out fee on the invoice?

Yes, if you charge one. Put it on its own line and mention it in your quote so the customer knows before you arrive.

Can I send the invoice to an insurance company?

Yes. Include the claim number, the property address and an itemised list of parts and labour, which is what insurers look for.

Is this template free?

Yes. Edit it and create a PDF as often as you like. When you want to send quotes and invoices by email or WhatsApp and get paid online, VumaBill has a free plan.
