What your invoice should include

  • Your business name, contact details and, if VAT-registered, your VAT number
  • Your customer’s name and the job address
  • A quote or invoice number and the date
  • Each item of labour and materials, with quantity and price
  • The total due, the payment due date and how to pay

Tips for catering invoices

  • Quote per person, and state the minimum number of guests.
  • Ask for a deposit to secure the date, and say when the final guest count is due.
  • List hire items and staff separately. They are the first things clients ask about.

Questions

How much deposit should a caterer take?

Many caterers take 50% to secure the date and the balance a few days before the event. Put both dates on the quote.

How do I handle changes to the guest count?

Set a cut-off date for the final count in your quote, and invoice the final number after that date.
