What your invoice should include
- Your business name, contact details and, if VAT-registered, your VAT number
- Your customer’s name and the job address
- A quote or invoice number and the date
- Each item of labour and materials, with quantity and price
- The total due, the payment due date and how to pay
Tips for air conditioning invoices
- Quote standard installation with a set piping length, then charge extra metres separately.
- Note the unit’s model and serial number on the invoice for warranty claims.
- Offer a yearly service plan on the invoice. It brings repeat work.
Questions
Should the unit and installation be separate lines?
Yes. Customers compare unit prices online, so showing installation separately makes your quote easier to accept.
How do I invoice service contracts?
Invoice each service visit, or set up a yearly or monthly recurring invoice for a service plan.
Is this template free?
